Go to Menu > Users

An organisation administrator can view the users’ information, but the organisation administrator cannot manage users. The user administrator is responsible for managing users.

The Organisation Administrator assigns and removes admin roles and the role as trusted employee to users.

Administrator roles / role as trusted employee

Go to Users > Select user > admin roles.

As an organisation administrator, you can assign or remove admin roles and the role as trusted employee. It’s a good idea to start assigning necessary roles to your organisation’s users at an early stage.

Assign administrator role or the role as trusted employee

  • Select the user to be assigned the administrator role(s) or the role as trusted employee. The User Information page opens.
  • From the admin roles menu, select the appropriate role.
  • Select Finish. The user will receive an email with information about the assigned role.

Remove Administrator Role or the role as trusted employee

  • Select the user. The User Information page opens.
  • From the menu, select admin roles. Here you can see the user’s assigned roles. Select the role(s) to remove.
  • Select Finish. The user will receive an email with information that the role has been removed.

Link user with P/SE number

Go to Users > Select user > Organisation. Choose whether you want to assign a P-number or SE number to the individual user. This can make managing users easier in large organisations.

This guide will show you how to create and manage a user group if you want to enable a rights administrator to more easily manage rights to multiple users in your organisation.

Go to Menu > User Groups > Select in menu “Solve Tasks”. In the next steps, you can create, add rights, and place restrictions on the user group.

You start by creating a user group

  1. Select User Groups from the menu
  2. In the Solve Tasks menu, you'll find Create User Group
  3. Here you must fill in the fields with a group name and a description of the group
  4. Select Save
  5. You will now receive a notification when the user group is created.

The user group is created.

Once the user group is created, you have the option to add rights to the user group

  1. Select User Groups from the menu. The User Groups page opens.
  2. You have previously created a user group. The overview of user groups is displayed. Select the user group you want to assign rights to.
  3. Under Solve Tasks, you'll find Assign rights to the user group. Select Assign rights to group. The Assign New Right page opens.
  4. Check the rights you want to assign to the user group. Select Assignment. At the top of the loose tasks page, you will get a message that you have assigned new rights to the group.
  5. You can see the rights that have been associated with the user group in the List view. On the right side of the list, you can remove a right.
  6. Select Save

Now you have saved your changes to your user group in MitID Erhverv.

After you have created a user group and assigned rights to the user group you can choose to set organisational limitations on the rights

  1. Select User Groups from the menu.
  2. Once you‘ve created a user group, you’ll enter the overview of your user groups. Select the name of the user group.
  3. Under the Solve Tasks menu, you can set an organisational limitation on the user group. Select Set Organizational Limitation.
  4. Here you select by clicking on the entire organisation P-device or SE number, and select Save Changes.
  5. Choose to restrict on the p-device and/or SE number in the menus.
  6. Select Save Changes.
  7. You have the option to restrict the rights of your user groups on IT systems. Select Limit on IT systems.
  8. Here you choose which IT systems the user group should be limited to.
  9. Select Save Changes.

Now the IT system limitation is put on your user group.

An organisation administrator sets up certificate settings for the organisation – but it is a user administrator who issues them.

  1. Go to Menu > Certificate Profile > Select Certificate. The organisation’s certificates are displayed.
  2. Select the relevant organisation certificate.
  3. Select the menu. The organisational certificate data opens.

Please note that an organisation administrator cannot issue the certificates. Therefore, an organisation administrator cannot select to and from under the system privileges and seal formation topics.

System rights

Under system rights you can see, if the certificate:

  • gives acces to IdM services in MitID Erhverv
  • gives acces to the handling of certificates.

Sealing

Under Settings, you'll find allow seal formation with organisation certificates. This shows whether the certificate may be used to form seals for the organisation.

Go to Menu > Powers > Select from menu “Resolve tasks”

An organisation administrator assigns, approves or refuses to give power of attorney to another organisation.

You can choose to give a power of attorney to an organisation or to a specific user in another organisation.

When you give a power of attorney to another organisation, the other organisation chooses which users to act on your behalf.

How to create power of attorneys for another organisation

  1. In the MitID Erhverv menu, select Powers of attorney.
  2. In the overview shown, you can see: Power of attorneys received and power of attorney given.
  3. From the Solve Tasks menu, select Create Power of attorney. New page opens.
  4. Select the recipient of the power of attorney. Enter the CVR number of the other organisation, which is to receive the power of attorney. Select Get Data.
  5. Now you can give the power of attorney a name. Name the power of attorney by filling in the master data field.
  6. Now you can assign rights to the power of attorney. Select Assign Rights. The Assign rights to user group page opens.
  7. Tick the privileges you want to assign to the other organisation on behalf of your own organisation. Select Assignment.
  8. In the power of attorney list, you can now see the rights you have assigned the power of attorney to the other organisation.
  9. (Optional) Choose whether to limit the power of attorney to a P-number. Choose Approve.
  10. (Optional) Choose whether to limit the power of attorney to an SE number. Choose Approve.
  11. You will receive a notification that the power of attorney has been created.

You can choose to give a power of attorney to an organisation or to a specific user in an organisation. When a user applies for a power of attorney, you must approve the application in MitID Erhverv.

How to approve a request for power of attorney

  1. Select Powers of attorney from the menu.
  2. Under received requests, you can see that another organisation has requested a power of attorney. Select the request.
  3. In the request you can see which CVR number is requesting. You can see master data, organisation name, CVR number, and which other organisation the power of attorney should apply to.
  4. In the request you can see which rights and limitations are attached to the power of attorney. Here you can assign, edit or remove the privileges of the power of attorney.
  5. Now you can reject or approve the request for a power of attorney to your organisation. Choose Approve.
  6. You will receive a notification when the power of attorney is approved.
  7. You will find the power of attorney in your power of attorneys.

You can also choose to reject a request for a power of attorney.

How to reject a request for power of attorney

  1. Select Powers of attorney from the menu.
  2. Under Powers of attorney, you can see that you have requests for power of attorney for approval. Select the request that is pending approval.
  3. In the request you can see which CVR number is requesting. Master data, organisation name, CVR number and other organisation to which the power of attorney should apply.
  4. Here you can see what rights the other organisation has applied for in the power of attorney.
  5. If you want to reject the application for power of attorney. Select Reject.
  6. Confirm rejection. Choose OK.

Now you have rejected an application for a power of attorney.

How to request another organisation for a power of attorney

  1. Select Powers of attorney from the menu.
  2. Select Request power of attorney.
  3. Now you need to enter the CVR number of the organisation from which you want a power of attorney. Select Get Data.
  4. Fill in the master data for the power of attorney.
  5. Now you can assign rights to the power of attorney. Select Assign Rights.
  6. Check the rights you want to attach to the power of attorney.
  7. Select Assignment.
  8. (Optional) Now you can choose whether to limit the power of attorney to a specific P device. Select the P-Device.
  9. (Optional) Now you can choose whether to limit the power of attorney to a specific SE number. Select the SE number.
  10. Once you have decided to restrict the rights of the power of attorney, choose Approve.
  11. Now your application for a power of attorney has been created.

In the power of attorney list, you can now see your request for a power of attorney from another organisation. The other organisation must now approve your request in MitID Erhverv.

How to create a power of attorney group with users

  1. In the MitID Erhverv menu, select Powers of attorney.
  2. Select Create Delegation Group. You will get an overview of the organisation’s received/given powers of attorney.
  3. Fill in the master data fields. Name of the group and description (optional) and select Save.
  4. You will receive a notification that the group has been created. Select Close.
  5. Now you can assign power of attorneys (external groups) to the group. To get to the list of your power of attorneys, select Add External Group from the Solve Tasks menu.
  6. In Add External Group, you'll see your external groups. Select one or more power of attorneys from other organisations (external groups). Select Assignment.
  7. You will receive a notification that the external power of attorney has been assigned to your group. Select Close.
  8. Now you can link users from your organisation to the group by clicking on the name of the group. The page of the Delegation group opens.
  9. In the Solve Tasks menu, select Add user to the group.
  10. Add one or more users who should be assigned to the power of attorney. Use the search function. Enter the name. Select Search.
  11. Select the users from your organisation who should be able to act in the other organisation. Select Add.
  12. Note, if you need to make changes to your power of attorney groups, you can click directly on the name of the group.
  13. Do you want to make a time limit on the users’ attachment to the group.
  14. Select the Select Period.
  15. Limit the user’s power of attorney rights by filling in the fields with a start and an end date. Select Save Changes.

You will receive a notification when you make changes.

An organisation administrator can see and manage the settings of the organisation:

  • Invoicing
  • Creating users
  • Authenticators
  • Certificates
  • Notifications.

Invoicing

Go to menu > Settings > Invoicing.

If the organisation buys a MitID service, e.g. a separate MitID authenticator or a certificate, MitID Erhverv must know how the organisation wants to receive the invoice.

Please note that if you purchase a service in MitID Erhverv, you will be advised about the purchase before you approve the purchase.

You can choose to receive the invoice in one of the following ways:

  • Digital Post: Fill in the reference name and PO number
  • E-mail: Fill in email, reference name and PO number
  • NemHandel: Fill in name, EAN number, reference name and PO number.

Creating users

Go to Menu > Settings > Creating users.

Before the user administrator can create new users, the organisation administrator must have defined the frames for user creation.

Authenticators

Go to menu > Settings > Authenticators

The organisation administrator decides whether users can log in or sign on behalf of the organisation with:

  • their private MitID,
  • or one or more seperate MitID authenticators.

After that, the user administrator and the individual user can choose the specific authenticator for the user based on the settings.

Certificates

You should decide whether your organisation will make use of the different certificates:

  • OCES User Certificate
  • OCES organisation certificate, which can be issued for different purposes, e.g. system certificate etc.
  • Qualified user certificate, which can be used, for example, as a seal for signing
  • Qualified organisation certificate, which can be issued for different purposes, e.g. system certificate or seal etc.

Notifications

Go to menu > Settings > Notifications.

Choose the settings on how you want to receive messages from MitID Erhverv either in MitID Erhverv or by email. It is possible to choose both.
